POSITION PURPOSE:

Bonneville Seattle is looking for someone to serve as the first point of customer service for Bonneville's listeners, clients, vendors and guests, projecting a warm and inviting company image in a pleasant and professional manner.  This position will provide daily administrative support to the Business Operations, Promotions, and Sales teams; and occasionally to others as directed from time to time.  The Front Desk Administrative Assistant also assists promotions with contest winner prize fulfillment; maintain records of the stations' public service activities for reporting purposes.

KEY RESPONSIBILITIES:

  • Front Desk:
    • Serve as the first point of contact for listeners, clients, and vendors via phone reception, email and greeting project pleasant, professional image and friendly, helpful demeanor
    • Oversees building mail reception, distribution, and oversees mailing supplies and procedures
    • Gather and timely file all listener correspondence in FCC Public Files in accordance with Company procedures
    • Maintain thorough knowledge of programming schedules and formats, content
      • Outreach Coordination - Maintain all community outreach records, compile yearly Crystal report and Marconi award submissions, post info online
      • Traffic public service announcements
      • Coordinate with other front desk staff "fill ins" communicate updated tasks and policies
      • Maintain company phone list, updating and distributing as necessary
      • Orders and distributes office supplies regularly and as needed
      • Serves as contact for office vendor relationships, including printers, kitchen areas, Avanti Market, caterers for office meetings and special events
      • Assists in communication with building announcements, including security and parking
      • Assist accounting with matching invoices to purchase orders, and routing for completion
      • Assist accounting with daily check runs
      • Assist sales with air checks, run times and transcribing spots as needed
      • Keep documentation and company information in the strictest of confidence
      • Work in compliance with company policies, procedures and standards of performance and support company mission, purpose and core values.
  • Promotions:
    • Facilitate prize fulfillment and assist with prizewinner database
    • General event assistance as needed from Front Desk (communicating event details with Public)

REQUIRED SKILLS & EXPERIENCE:

  • Pleasant phone demeanor and excellent interpersonal communication skills
  • Able to multi-task in a fast paced environment effectively and efficiently with multiple distractions
  • Self-starter (starts primary tasks and moves on to additional tasks without needing to be directed) with a strong work ethic. Asks for instruction/guidance/training when needed.
  • Ability to support multiple managers.
  • Strong writing skills
  • Positive attitude and exceptional customer service skills.
  • Ability to follow written and verbal instructions under limited supervision.
  • Great organizational skills and high attention to detail
  • Knowledge of Microsoft Office products PowerPoint, Word, Excel, Outlook
  • A high level of proficiency with computers, software and ability to learn and work with new technologies.
  • Work effectively in a team environment
  • Proven ability to effectively handle stress and address concerns from customers
  • Project an appropriate professional appearance and demeanor

Preferred QUALIFICATIONS:

  • 1-2 years promotional and/or office admin experience
  • 2 or 4 year college degree
  • 1-2 years media industry experience

PHYSICAL DEMANDS:

  • Receive, process, and maintain information through oral and/or written communication effectively.
  • Substantial physical movements (motions) of the wrists, hands, and/or fingers.
  • Ability to extend hand(s) and arm(s) in any direction with good eye and hand coordination.
  • Lift, move, and carry up to 50-100 pounds on occasion.
